Cancellation & Refund Policy

This Cancellation & Refund Policy outlines the terms under which clients may cancel their service agreements with Pharhaan.com and the conditions for any potential refunds. Our aim is to provide clear guidelines while ensuring fairness for both parties involved in our retainer-based design services.


1. General Policy for Retainer Services

Due to the nature of design services, which involve upfront planning, resource allocation, and continuous work, payments for services already rendered or for active billing periods are generally non-refundable. Our retainers secure dedicated design time and capacity for your projects.


2. Cancellation by Client

Clients may cancel their retainer agreements under the following conditions:

a. Monthly Retainer (Growth UI Partner)
      • Cancellation Notice: You may cancel your monthly retainer by providing at least 15 days’ written notice before the start of your next billing cycle.

      • Refunds: No refunds will be issued for the current month’s service fee once the billing cycle has begun. Your access to services will continue until the end of the current paid billing period.

b. Quarterly Retainer (UI Accelerator)
      • Cancellation Notice: You may cancel your quarterly retainer by providing at least 30 days’ written notice before the start of your next quarterly billing cycle.

      • Refunds: No refunds will be issued for the current quarter’s service fee once the billing cycle has begun.

      • If you cancel during a quarter, services will continue until the end of that paid quarter.

      • Early Termination: Should you need to terminate your quarterly agreement before the completion of the 3-month commitment (i.e., within the first or second month of a quarter), any pre-paid amounts for the ongoing quarter are non-refundable.

c. Annual Retainer (Strategic UI & Brand Partner)
      • Cancellation Notice: You may cancel your annual retainer by providing at least 60 days’ written notice before the start of your next annual billing cycle.

      • Refunds: No refunds will be issued for the current year’s service fee once the billing cycle has begun.

      • If you cancel during an annual period, services will continue until the end of that paid annual period.

      • Early Termination: Our annual plan offers a significant discount based on a year-long commitment. If you choose to terminate your annual agreement before its completion, no refunds will be issued for the remaining pre-paid portion of the annual fee. This covers the reserved capacity and discounted rate provided.

d. How to Cancel

All cancellation requests must be submitted in writing via email to [Your Email Address Here, e.g., contact@pharhaan.com]. Please include your company name and the retainer tier you wish to cancel.


3. Cancellation by Pharhaan.com

We reserve the right to suspend or terminate services, and/or cancel retainer agreements, under the following circumstances:

  • Breach of Terms: If a client violates our Terms and Conditions, including but not limited to, non-payment of fees, abusive behavior, or infringement of intellectual property rights. In such cases, no refunds will be issued.

  • Unforeseen Circumstances: In rare cases, due to unforeseen circumstances (e.g., severe illness, force majeure), we may need to terminate a retainer agreement. In such instances, we will endeavor to provide reasonable notice and, if applicable, issue a pro-rata refund for any unused pre-paid service time that we are unable to fulfill.


4. Project-Specific Work & Deposits (If Applicable)

For any project-based work outside of a standard retainer (e.g., a one-off project with a separate quote and deposit), specific cancellation and refund terms will be outlined in the individual project proposal or contract. Generally, deposits for project work are non-refundable once work has commenced due to the immediate allocation of resources and time.


5. No Refunds for Completed Work

Once deliverables have been provided and approved by the client, or once the dedicated design time for a billing period has been utilized, the associated fees are considered earned and are non-refundable.


6. Changes to This Policy

We may update this Cancellation & Refund Policy from time to time. We will notify you of any changes by posting the new policy on this page. You are advised to review this policy periodically for any changes. Changes are effective when they are posted on this page.
